Job Summary

Under the direction of the Project Director, the role is responsible for managing and maintaining project documentation, ensuring all project documents are accurate, up-to-date, and properly filed and distributed in accordance with company policies and project requirements. This role ensures the accurate handling, filing, retrieval, and archiving of key project documentation, working closely with on-site engineering, construction, safety, and quality teams to maintain document integrity and version control throughout the project lifecycle for the duration of the project.

Job Responsibilities
-Receive, log, track, and distribute technical and non-technical documents including drawings, specifications, reports, RFIs, permits, ITPs, inspection records, and safety documentation.
-Maintain a structured document control system aligned with project requirements and company standards.
-Ensure proper version control and document status tracking to avoid outdated or superseded documents being used on-site.
-Upload and manage documents within the project’s Electronic Document Management System (EDMS), such as Aconex, Procore, SharePoint, Omega365 or a similar platform.
-Coordinate document flow between the Project team and business partners (consultants, construction contractors, equipment suppliers, etc).
-Support preparation and issuance of transmittals, submittals, and document packages.
-Assist in the management and filing of controlled documentation required for audits and compliance inspections.
-Monitor and maintain the document register and ensure timely updates and closeouts.
-Enforce adherence to project document control procedures and support ongoing process improvements.
-Comply with all company policies and procedures.
-Meet or exceed the performance expectations established by management.
-Perform other duties as assigned.

Qualifications and Skills
-College or technical degree in a related field.
-Strong interpersonal and communication skills with the ability to influence all levels of the organization.
-Strong familiarity with document control standards, systems, and practices in a site-based environment.
-Proficiency with EDMS platforms (e.g., Aconex, Procore, SharePoint) and Microsoft Office Suite.
-Excellent organizational skills and keen attention to detail.
-Ability to work independently and collaboratively with multi-disciplinary teams on site.
-Strong communication skills and ability to handle sensitive or confidential information.
-Understanding of document numbering, revision control, and transmittal processes.
-Capability to work in both office and field environments.
-Must have a valid driver’s license.

Compensation Data

Hourly rate: $37.00 - $38.00 / hr
